GlowBack™ — Licensed Patient Return Framework for Medical Spas
GlowBack System
Licensed Patient Return Framework · Medical Spas

When the glow fades,
GlowBack™
supports the path back.

When patients return, reviews grow. When reviews grow, new patients are more likely to choose you first.

Most clinics spend heavily to acquire new patients — but have no reliable way to reconnect with them when treatments fade. GlowBack™ is licensed and installed quietly inside your clinic to support patient return during the Glow Window™ — the natural moment between treatments when they begin thinking about coming back.

Clinics don't lose patients at the treatment.
They lose them between treatments.

Patients don't leave because treatment was bad. They drift. Time passes, results fade quietly, and another clinic looks more visible when they search again. The relationship was never lost — it was just never maintained.

1
Life gets busy and the result fades quietly

Botox results fade on a clinically documented schedule — typically between day 90 and 120. Most clinics make no contact during that window. The patient meant to return but never did, and the clinic never reached out.

Clinical median: 119–148 days · Archives of Facial Plastic Surgery; Cleveland Clinic retreatment guidelines
2
Another clinic becomes more visible when the patient searches again

When they finally search again, stronger reviews and a more active presence win their attention — even if your clinic did better work.

41% of consumers "always" read reviews before choosing a provider in 2026 — up from 29% in 2025 · BrightLocal
3
The acquisition cost disappears with the patient

Every patient required marketing dollars to acquire. When they don't return, that investment vanishes. Most clinics never measure this gap — but the math is significant.

Reactivating a lapsed patient costs 5–25× less than acquiring a new one · Harvard Business Review / Bain & Company, 2014
4
No system supports the return path at the right moment

Most clinics simply wait for the patient to remember. By then, another clinic may already have won the appointment. The window between results fading and the patient deciding is measured in days — not weeks.

The probability of converting an existing patient is 60–70% vs. 5–20% for a new prospect · Marketing Metrics, Farris et al.

The Glow Window™

Every aesthetic treatment follows a natural cycle. The Glow Window™ is the moment when results begin fading and the patient starts thinking about returning — before they search, before they decide, before another clinic becomes more visible.

GlowBack™ supports reconnection
1
The treatment

Patient visits your clinic. The result looks great. They leave feeling confident. The relationship is at its strongest.

2
The fade begins

Weeks pass. The result softens. Life gets busy. The clinic name fades from memory. No contact has been made.

3
Glow Window™ — This Is the Moment
The patient starts thinking about returning

They haven't searched yet. They haven't chosen another clinic. This is the window — measured in days — when GlowBack™ helps make the path back to your clinic smoother and easier to follow.

4
Without GlowBack™ — the risk

The window passes without contact. The patient searches. A competitor with more reviews may win the next appointment. The relationship drifts.

5
With GlowBack™ — a smoother return path

Your clinic reconnects during the window. The patient has a clearer path back. The cycle can continue. The review can follow. The relationship can compound over time.

GlowBack™ tracks each patient's treatment history and calculates their personal Glow Window™ — then sends the right message at the right moment, automatically.

The goal is to reconnect them with your clinic before another clinic becomes more visible. The framework runs in the background. Your front desk does nothing differently.

01

Patient return is better supported

Patients are reconnected during their Glow Window™ before they drift — or search — for another clinic.

The probability of selling to an existing patient is 60–70% vs. 5–20% for a new prospect. Existing patients already trust the clinic and know the results.

02

Review velocity can increase

Returning patients are guided to leave reviews at the right moment — building a trust signal that compounds over time.

83% of patients who are asked to leave a review actually do — the highest rate ever recorded. Most clinics never ask systematically.

03

Local visibility can strengthen

As reviews grow and patients return more consistently, your clinic can become a stronger option when new patients search locally.

45% of consumers now use AI tools like ChatGPT to find local businesses — up from just 6% in 2025. AI search pulls from the exact signals GlowBack™ builds.

A single reactivated Botox patient is worth thousands of dollars in future visits. Reactivating that patient costs a fraction of acquiring a new one. Most clinics spend their marketing budget almost entirely on acquisition — while the return on reactivation is orders of magnitude higher.

GlowBack isn't general marketing.
It's licensed return infrastructure for patient loyalty.

Licensed once, installed once, and operated quietly in the background. No new software for your team to learn. No new logins. No extra staff process to manage.

The full loop — patient return and trust signal growth working together.

Returning patients create reviews. Reviews strengthen trust. Stronger trust can lower the cost of acquiring new patients.

Clinics that reconnect patients during their Glow Window™ can strengthen both return behavior and review growth — two signals that can make new patients more likely to choose them over a competitor.

GlowBack™ is licensed once per local clinic market.

GlowBack™ is licensed once per local clinic market. When a clinic secures the GlowBack™ license for its market, GlowBack™ is not licensed to competing clinics in that area during the term of the agreement.

One license per local market — your clinic's position is protected once the license is active.
Markets are available on a first-come basis — the first clinic to secure the license holds the position.
During the consultation we check your market availability and review your clinic's patient return cycle — so you leave with a clear answer either way.

Once a market is licensed, it is closed to competing clinics in that area for the term of the agreement. The clinic that moves first holds a permanent advantage that competitors cannot access until the license lapses. This is not a feature they can replicate — it is a position in the market.

This is not sold like software.
GlowBack™ is licensed by market.

A GlowBack™ license gives one clinic in a local market access to the GlowBack™ patient return framework, installation, and ongoing operation. It is designed to support a smoother, more visible path back to your clinic when patients are ready to return.

Licensed access, not open availability — GlowBack™ is not offered to every clinic in every area. Each local market is reviewed for availability before a license is granted.
Installed as part of the license — once licensed, GlowBack™ is configured into your clinic's operating environment and set up around your services, treatment timing, and patient return rhythm.
Protected local position — when a market is licensed, GlowBack™ is not licensed to competing clinics in that same local market during the term of the agreement.
Ongoing operation included — the license includes the continued operation of the framework, oversight, and monthly reporting so the clinic does not need to manage another tool internally.
HIPAA-compliant infrastructure — GlowBack™ operates within a HIPAA-compliant environment. Patient data is handled through a platform with a signed Business Associate Agreement (BAA). Your clinic's patient information is not processed outside of compliant infrastructure.
